How to Use Claude Connectors: Drive, Gmail, and Calendar Recipes

A connector lets your AI chatbot reach directly into your Drive, email, and calendar to actually get things done. The payoff isn't the one moment of being impressed when you first connect it. It's in the work that comes back every month. Claude, ChatGPT, and Gemini each menu their connections differently and support a different range of actions.

"I connected it, but I still don't know what to actually ask it to do." If you connect a tool and then still re-upload files by hand, copy and paste email text, or hunt for a free slot on the calendar yourself, the connection isn't doing much for you.

Today you'll run three recipes that put Drive, Gmail, and Calendar to actual work. You'll run all three recipes in Claude, then check ChatGPT's supported range for the same app before asking it to do the same job. Near the end, you'll check the flow for building an event through Gemini's connected apps. If you connected ChatGPT in the last lesson, it's time to put that connection to work. Approval

The confirmation Claude asks for before it takes an action on your behalf. Per the official docs, the default is one approval per action. Sending, replying to, and forwarding an email, and sharing, moving, or trashing a Drive file, are the actions that typically require it.

Lesson Roadmap: From Connecting to Doing

In the last lesson, you found where to connect Claude as connectors, ChatGPT as apps, and located Gemini's connected apps menu. As the comparison table in the first lesson showed, each tool calls it something different, but today's flow is the same across all three: find the material, pull out what you need, and ask for the next step, a draft or a booked event.

ChatGPT's default permission level is Important actions: reads happen automatically, and it asks before anything important. You already covered the four levels and the conditions for Connect in the last lesson, so this lesson focuses on what each app can actually do, recipe by recipe. Depending on your plan, region, or workspace settings, Connect can show up grayed out (as of August 2026).

Recipe 1: Drive, Draft From Last Month's Report

In the web workspace track, you built a client report project and uploaded last month's report and brand guide to project knowledge by hand. That was the manual version. Now that a connector is in place, you can skip the upload step entirely. You don't need to have done that track first either, all you need is one document from last month sitting in your Drive.

Claude Walkthrough: Find, Build, Save

Open a new chat and give it this:

Find last month's content performance report in my Drive. Match its section order and table structure to build a skeleton for this month's report. Leave the number cells blank, just note what data should go in each one.

That's three jobs packed into one line: find, read, build. Claude searches Drive, finds the document, reads through the text, and builds the skeleton. It shows which document it drew from in the answer, and links back to the source when a link is available. If a link shows up, clicking through to check the skeleton against the original is part of the job too.

If the skeleton looks usable, turn it into a file.

Turn this skeleton into a Word document and save it to my Drive.

Claude can build Excel (.xlsx), PowerPoint (.pptx), Word (.docx), and PDF files directly, and save them straight to Drive. That requires the code execution and file creation feature to be turned on. It's on by default for Free, Pro, and Max plans; if it's off, flip it back on at Settings > Capabilities under Code execution and file creation. Team and Enterprise owners can disable it at the org level, so if you hit a wall saving a file, check with your admin. Each file caps out at 30MB (as of August 2026).

As of August 2026, Claude only pulls text out of Drive files. It can't read a table or chart pasted in as an image, comments, or edits left in Suggesting mode. If last month's report has its performance table saved as a screenshot instead of an actual table, those numbers won't get picked up. Keeping tables as tables is the safer bet.

ChatGPT Path: Check the App's Range First

In ChatGPT, start in the plugin directory: open the plugin that includes Google Drive and click Connect. Once connected, you can ask the same question to find material and build a skeleton, but whether it can also create a file and save it to Drive is something to check on the plugin's detail screen and in the official docs.

Check my Google Drive for last month's content performance report. If you find it, use its section order and table structure to draft a skeleton for this month's report. Leave the number cells blank and just note what data goes where.

If Connect shows up grayed out, a region restriction, plan requirement, or workspace setting could be why. Seeing the plugin directory and actually being able to use the app you want are two different things, so read the detail conditions on the Google Drive plugin first. Even after you get a response, whether it can create or save a file comes down to that app's supported range.

Recipe 2: Gmail, Sort a Backlog Into Draft Replies

Give the inbox everything at once and the answer tends to turn into mush. Splitting the job into two steps works better. Start by having it sort.

Claude Walkthrough: From List to Draft

Go through my unread emails and pick out the ones that need a reply this week. Put them in a table, one row per email: who sent it, what they're asking for, and the deadline.

Once the list is up, point at one of them.

Draft a reply to the second email. Suggest a time after next Tuesday, and save it as a draft in Gmail.

The draft lands in your actual Gmail account, and you can pull up your saved drafts to check them later. Up to this point, click through any approval prompt without worrying, a draft hasn't gone anywhere yet.

Sending is where things get different. As of August 2026, Claude can send, reply to, and forward Gmail messages, a step up from drafting-only, which is as far as it went until recently. But the default is approval on every single action. Say "send this" and an approval prompt shows up first, nothing goes out before you click it. Get in the habit of checking the recipient, subject line, and first line of the body before you click through. Team and Enterprise plans let an owner turn off the per-action prompt so it just runs, so if you're on a work account, it's worth checking with your admin.

Claude Limit: Attachments Are Metadata Only

Claude can see an attachment's metadata, things like the file name and format, but not what's inside it. Ask it to summarize a quote that came in as an attachment and this is exactly where it stops. Moving that file to Drive first, or uploading it directly into the chat, is the workaround.

ChatGPT Path: Check Reading and Drafting First

Before trying the Gmail recipe in ChatGPT, check the plugin directory for a plugin that includes Gmail. If one exists, check its detail screen for what it supports: reading, drafting, and sending. Try the same two-step prompts, but decide what's actually possible from that app's detail page and the official docs.

Splitting the request into a low-stakes step that stays internal, like a draft, and an important step that leaves the inbox, like sending, makes it easier to see where approval kicks in. Under ChatGPT's default, Important actions, reads happen automatically and it asks before anything important. How far it can read into an attachment is something to check against the connected app's supported range and the official docs.

Recipe 3: Calendar, Book a Meeting in a Free Slot

Give me a briefing on next week's calendar. Just pull out external meetings and deadlines, organized by day.

The calendar connector does more than look. It can create, edit, and delete events, find a time that works for everyone invited, and set up recurring events. It can even respond to invitations you've received with an accept or decline. So you can ask for something like this:

Find an hour next week when Alex and I are both free, and book a meeting for Thursday afternoon. Title it "September Report Kickoff."

An approval prompt shows up here too. Calendar is where a mistake shows up in front of other people, a wrong booking lands on someone else's calendar just as much as your own. Before you click through, check three things: the date, the time, and the attendees. Get those three right and anything else is an easy fix.

If event creation is flatly unavailable on your work account, that might not be your mistake, it might be policy. On Team and Enterprise plans, an owner sets tool permissions per connector to Always allow, Needs approval, or Blocked. If your org has read open and write locked, an individual account can't unlock that. Asking your admin is the right next step.

ChatGPT Path: Check What Event Actions Are Supported

Before running the calendar recipe in ChatGPT, check the plugin directory for a plugin that includes Google Calendar. If one exists, check its detail screen for the Connect requirements and what actions it supports.

Whether creating an event or anything that affects other attendees is supported comes down to the plugin's detail page and the official docs. If booking is supported, check the date, time, and attendees on the confirmation screen before anything runs. In Gemini: Building an Event With Connected Apps

Gemini doesn't have you pick plugins one at a time. Instead, you manage toggles under Connected Apps inside Personal Intelligence. On the web (gemini.google.com), go to Settings & help, open Personal Intelligence, and open Connected Apps. In the mobile app, tap your profile photo and go to Personal Intelligence.

On the Connected Apps screen, turn on the toggle for whatever app you need. What you can connect includes Google Workspace apps like Gmail, Calendar, Drive, and Contacts, plus other Google services like YouTube, Search, Maps, and Shopping. Photos is only open in some regions (as of August 2026). Once the toggle is on, you can ask for something like this:

Google's help center lists creating an event in Google Calendar directly as an example of what a connected app can do. It also notes that with Personal Intelligence turned on, Gemini can go further and make recommendations or build a personalized schedule on your behalf. To turn off or disconnect a connected app, flip its toggle off from the same screen.

Gemini Requirements: Account and Rollout

If Connected Apps doesn't show up, or it can't find your material, check the account requirements first. It needs to be a personal Google account, not a work, school, or supervised account. You need to be 18 or older, and your activity history setting needs to be turned on. Connecting Workspace apps also requires the smart features setting on other Google products. The regions the help center lists as unsupported are the UK, the European Economic Area, Switzerland, and Nigeria (as of August 2026). Even meeting every requirement, Personal Intelligence is still rolling out gradually, so the menu might not show up for you yet.

Gems and Connected Apps: No Personal Intelligence Support

Gemini's Connected Apps based Personal Intelligence doesn't work inside some features, Gems among them. Rather than expecting a personalized answer from connected apps inside a Gem, uploading the material directly to the Gem is the reliable route when you're building a recurring workflow there. Deleting or editing an email in Gmail can also take a few days to show up on Gemini's side, so if you need it to work off an inbox you just changed, give it some buffer before you check.

Connector Boundaries: Reading vs. Writing

The fastest way to learn where the line is: ask for something that doesn't work and watch it fail. Try this:

Compare the three quotes attached to emails I got last month and put them in a table.

Claude finds the emails fine. What it can't do is pull the numbers out of the attachments. As covered earlier, a connector only reaches an attachment's metadata. Instead of rewriting the prompt ten different ways when the answer looks off, it's faster to stop here and take the workaround.

The official docs list five current limitations.

• No access to Gmail attachment content, metadata only.
• Some advanced Gmail filters aren't supported.
• Complex requests get split into multiple API calls.
• Google's API quotas still apply.
• Performance gets inconsistent with a large mailbox.

Put together, Claude connectors are strong at finding, reading, and drafting, and limited at looking inside a file or scanning hundreds of items in one pass. So break the job into smaller pieces. "Clean up my whole inbox" runs a lot worse than "just this week's unread mail."

ChatGPT Boundary: Check Whether Editing Is Supported

ChatGPT can sometimes view a Drive file but not edit it. The official FAQ walks through the reasons: the action isn't supported in ChatGPT, the action is turned off, it doesn't have the Drive permission or OAuth scope it needs, or a workspace admin has turned off Drive actions. Before trying a recipe that changes a file in ChatGPT, check these conditions and the plugin's detail page first.

Check each app's detail screen for what it supports, reading, drafting, editing, sending, and booking, and confirm anything you're unsure about in the official docs before you ask for it.

Repeat Work: Separate the Project From the Connector

To reuse a recipe that worked once, split it into two pieces. The room is the project, the data is the connector.

Reopen the client report project you built in the web workspace track. Project instructions hold the format and the rules: section order, notation conventions, sentence length, that kind of thing. For source material, attach the Drive original instead of a manually uploaded copy. Pick Drive when you add a file to the project and point it at the document, and that file stays synced with the Drive original from then on. Hunting down and re-uploading a new file every month disappears entirely.

Attaching a Drive document to project knowledge only works in private projects, that option is off in shared projects. For a task that runs every month, stop at the draft and skip handing off the send too. Clicking through an approval prompt every time might feel like friction, but cleaning up after one wrong email that actually reached a client often takes a lot longer. Automate the reading, finding, and organizing. Keep the last click, the one that sends something out into the world, in your own hands.

This is exactly where the thing I wanted to do first fell apart. I'd connected Drive and asked Claude to create a document and drop it in a specific folder, and it only referenced Drive. It didn't create anything. At the time, I just chalked it up to connectors leaning toward reading and left it there.

It works now. The file-creation feature covered above showed up in the meantime, and Claude can save the Word, Excel, and PDF files it makes straight to Drive. This is an area where something that didn't work a few months ago works today, so if you shelved a task after hitting a wall once, it's worth trying again.

Frequently asked questions

Can Claude send emails?▸
